Thank you for choosing to rent one of our homes. We look forward to having you as a tenant and working together to build a positive relationship. Clear communication and understanding of each party's responsibilities are key to maintaining a successful rental experience.

Pacific Dependable Property Management manages properties on behalf of the owners, with legal agreements in place that define our relationship with both the owner and you, the tenant. Our business is designed to benefit all parties involved, including tenants, property owners, and vendors who handle maintenance. To ensure excellent customer service, we operate an advanced system that tracks and monitors all communications and provides 24/7 phone support so you can always speak with a live person rather than leaving a voicemail.

All parties—tenant, owner, and manager—have specific obligations to fulfill to ensure a pleasant and well-maintained living environment. As a tenant, it's essential that you carefully review the lease agreement you've signed or will be signing. This document is legally binding for all involved.

Deposits

Every tenant is required to pay a deposit. This deposit is a good faith payment intended to cover any potential loss the property owner might incur if the lease agreement's terms are not honored. If you fail to meet your responsibilities under the lease, the deposit may be used to cover the loss, and if the deposit does not fully cover the damages, you will be responsible for the remaining balance.

Pacific Dependable Property Management may use all or part of your deposit for reasons such as property damage due to misuse or neglect, failure to provide a 30-day notice before vacating, not fulfilling the lease terms, or not leaving the property in the same condition as when you moved in, accounting for normal wear and tear.

Late Fees

Late fees are automatically charged if rent is not received by the agreed-upon date in your lease or rental agreement. These fees are firm and will be applied at midnight on the due date if the rent remains unpaid. The specific late fee amount is outlined in your lease.

Our office is available 24/7 to assist you. Please note that we do not accept cash payments at our office, and we do not accept partial payments, multiple checks, or two-party checks.

Inspections

Our agreements with property owners allow for annual or bi-annual inspections of the property. We offer convenient alternatives to minimize disruption, such as filming your residence with your smartphone and uploading the video. We find that videos provide more detailed information than written forms.

Locks

Tenants are not permitted to change the locks. If the landlord needs to access the property with proper notice and the locks have been changed by the tenant, the tenant will be responsible for the locksmith's cost to rekey the locks.

Maintenance

During your lease, there are certain maintenance tasks you are responsible for to ensure the property is kept in good condition.

Heat Systems

You are responsible for replacing and maintaining consumable items, such as light bulbs and filters. Forced-air heating systems usually have at least one filter, and it is your responsibility to replace or clean these filters monthly. Keeping the furnace area clean and free of debris is also important to ensure the system operates efficiently and to avoid unnecessary repair costs.

Baseboard and wall heaters should be vacuumed and wiped down monthly to maintain their efficiency.

Plumbing

As a tenant, you are responsible for keeping drains free of debris, grease, hair, lint, wipes, feminine products, and similar items. If a drain becomes clogged due to tenant-caused issues, you will be responsible for the cost of clearing it. If a professional plumber determines the problem is due to non-tenant issues, such as tree roots, the property owner or management company will reimburse you for the expense.

Mold, Moisture, and Mildew

Landscaping

Tenants are expected to maintain the grounds, even if landscaping services are included in the rent. This includes tasks such as watering, weeding, mowing, edging, and raking. If you move into a property with lush, green landscaping, you are responsible for maintaining it. If you neglect to water the yard appropriately, you will be responsible for replacing any plants, grass, shrubs, or trees that die as a result.

Winterizing

Please view our specific instructions for winterizing your home. 

It is important to know where the shut-off valves for your home are located, which is especially useful in case of a pipe break. If you plan to be away for an extended period, we recommend shutting off the water to prevent any potential damage. Owners and management companies are not responsible for damage that occurs while you are away.

In freezing weather, it is important to maintain a minimum level of heat (we advise 55 degrees) in the house to prevent pipes from freezing. Opening cabinets in areas with pipes can help keep them warm, and during deep freezes, you should leave taps dripping to keep water moving and prevent freezing.

Outdoor water systems should be turned off, and exposed pipes should be wrapped to prevent freezing. If you experience frozen or broken pipes, shut off the main water valve immediately and contact the water company or emergency services if necessary.

If you do not take the necessary precautions to protect the property and encounter issues such as broken pipes, you may be responsible for any resulting damage.
